Terms and Conditions for Booking Talaqi Center

1.Purpose

These Terms and Conditions govern the use and booking of spaces at Talaqi Center for Dialogue and Civic Encounter, a civic and cultural space established and managed by Advancing Civil Society – GLOCA in Old Aleppo.

By submitting a booking request, the organizing entity confirms that it has read, understood, and agreed to comply with these Terms and Conditions.

2.Nature of Talaqi Center

Talaqi Center is a non-profit civic and cultural space designed to host dialogue, civic engagement, community encounters, capacity-building activities, cultural initiatives, and social cohesion events.

The center is not a commercial rental venue. Its hosting model is based on civic access, operational sustainability, and partnership-based collaboration.

All activities hosted at the center must be consistent with its mission, values, civic character, and code of conduct.

3.Available Spaces

The following spaces may be requested through the booking system or related booking channels:

Talaqi Liwan

The main hall of the center, suitable for workshops, trainings, consultation meetings, civic dialogues, public discussions, and civil society events. Talaqi Liwan can host up to 30 participants.

Kan Zaman Cave

A calm lower-level space suitable for focused dialogues, cultural sessions, group discussions, seminars, specialized trainings, cultural events, and artistic or musical evenings. Kan Zaman Cave can host up to 70 participants.

Kan Zaman Café

A social and informal space designed for breaks, hospitality, networking, informal meetings, and community exchange. Kan Zaman Café can host up to 50 participants.

Booking for Kan Zaman Café will be available soon and remains subject to operational capacity and prior confirmation by Talaqi Center’s management.

4.Booking Request and Confirmation

Submitting a booking request does not automatically confirm the booking. All requests are reviewed by Talaqi Center’s management based on space availability, capacity, the nature of the activity, the requested hosting pathway, operational feasibility, safety considerations, and alignment with the center’s mission, values, and code of conduct.

A booking is considered confirmed only after the organizing entity receives an explicit confirmation from Talaqi Center’s team.

5.Booking Types

Free Civic Hosting: For youth groups, volunteer initiatives, non-funded civic groups, and community actors with limited resources. This pathway provides access to the space without a financial contribution. The organizing entity remains responsible for its own logistical needs unless otherwise agreed.

Sustainability Contribution Hosting: For funded organizations, projects, trainings, and activities that are able to contribute to the operational sustainability of the center. These contributions help cover operating costs and support the continued availability of free access for non-funded civic initiatives.

Partnership Hosting: For activities implemented in cooperation with Advancing Civil Society – GLOCA and local or international partners. This pathway is based on prior agreement regarding roles, responsibilities, logistics, visibility, documentation, and any financial or in-kind contributions.

6.Operating and Booking Hours

Talaqi Liwan and Kan Zaman Cave are currently available for booking during the following periods. Kan Zaman Café booking will be launched later and may follow a dedicated schedule depending on its operating model.

  • Morning Period: 10:00 AM – 3:00 PM
  • Evening Period: 4:00 PM – 9:00 PM
  • Regular booking days: Sunday to Thursday

Saturday bookings may be accepted based on prior approval. Friday is generally reserved for rest, maintenance, and internal preparation, and bookings are accepted only in exceptional cases approved by the center’s management.

The period between 3:00 PM and 4:00 PM is reserved for cleaning, rearrangement, ventilation, technical checks, and preparation between activities.

7.Responsibilities of the Organizing Entity

The organizing entity is responsible for:

  • Providing accurate information in the booking request.
  • Using only the space and time period approved by Talaqi Center.
  • Managing participants and ensuring their compliance with the center’s rules.
  • Ensuring that the number of participants does not exceed the approved capacity of the booked space.
  • Respecting the approved activity description and not changing the nature of the event without prior approval.
  • Covering its own logistical needs, including materials, hospitality, interpretation, transportation, photography, or additional equipment, unless otherwise agreed.
  • Leaving the space clean, organized, and in its original condition after the activity.
  • Reporting any damage, incident, or operational issue to the center’s team immediately.

Talaqi Center reserves the right to suggest changing the requested space if the expected number of participants, type of activity, safety considerations, or operational needs require a more suitable space.

8.Code of Conduct

All users of Talaqi Center must respect the following principles:

  • Respect for the civic and non-partisan character of the center.
  • Respect for religious, cultural, social, and political diversity.
  • Commitment to responsible dialogue and non-discriminatory language.
  • Rejection of hate speech, incitement, exclusion, harassment, bullying, or intimidation.
  • Respect for participants’ privacy, dignity, and safety.
  • Respect for the center’s team, facilities, and heritage character.
  • Compliance with the approved booking time, space, and operational instructions.

Talaqi Center may intervene, suspend, or end an activity if the Code of Conduct is violated.

9.Activities Not Permitted

Talaqi Center may not be used for activities that include or promote:

  • Direct partisan or electoral campaigning.
  • Political, sectarian, ethnic, regional, or religious incitement.
  • Hate speech or discrimination against any individual or group.
  • Military, security, or mobilization-related activities.
  • Purely commercial activities that are not aligned with the center’s civic mission.
  • Activities that insult religions, communities, identities, or social groups.
  • Fundraising or money collection without prior written approval.
  • Any activity that violates applicable laws, public safety rules, or the center’s values.

Talaqi Center reserves the right to reject or cancel any request that does not align with its mission, values, safety standards, or civic character.

10.Protection of the Heritage Space

Talaqi Center is located in a heritage building in Old Aleppo. All organizing entities and participants must respect and protect the physical and historical character of the place.

It is not permitted to:

  • Attach posters, banners, nails, adhesives, or equipment to walls, columns, stone surfaces, doors, windows, or architectural elements without prior approval.
  • Move, alter, or damage any fixed or heritage element.
  • Bring heavy equipment that may affect floors, stairs, walls, or safety.
  • Use materials or installations that may leave marks or cause damage.
  • Enter areas not included in the approved booking.

Any damage to the building, furniture, equipment, or heritage elements may result in liability for repair or replacement costs.

11.Photography and Media Coverage

Photography, video recording, or media coverage must be declared in the booking request.

The organizing entity is responsible for obtaining the consent of participants before photographing, recording, or publishing their images.

No participant should be photographed or filmed against their will.

Talaqi Center may document activities for reporting, archiving, and communication purposes, while respecting privacy and consent requirements.

For sensitive or closed activities, Talaqi Center may restrict or prohibit photography and media coverage.

12.Modification or Cancellation

The organizing entity may request to modify or cancel a booking before the activity date. Any modification is subject to availability and approval by Talaqi Center’s management.

Talaqi Center reserves the right to modify or cancel a booking in case of operational, safety, administrative, or other serious reasons, or if the information provided in the booking request is inaccurate or incomplete.

13.Liability for Damages

The organizing entity is responsible for any damage caused by its team, participants, service providers, or guests during the activity.

Talaqi Center may request that the organizing entity repair the damage, cover the cost of repair or replacement, or take other appropriate measures in case of serious or repeated violations.

14.Data and Communication

Information submitted through the booking system will be used for reviewing, managing, confirming, documenting, and following up on booking requests.

Talaqi Center may contact the organizing entity by email, phone, or other communication channels for clarification, confirmation, coordination, or follow-up.

Personal and organizational information will be handled in accordance with the center’s Privacy Policy.

15.Acceptance of Terms

By submitting a booking request, the organizing entity acknowledges that it has read and accepted these Terms and Conditions.

Talaqi Center reserves the right to update these Terms and Conditions when needed. The version published on the website at the time of booking shall apply to the submitted request.
